How to Create an Invoice

Fill in your details (name, address, VAT number), add your client’s information, then add line items with descriptions, quantities, prices, and applicable VAT rates. The summary on the right updates in real-time. Click “Download PDF” to generate a professional A4 invoice.

Invoice Requirements by Country

Different countries have different legal requirements for invoices. In the EU, a valid VAT invoice must include both parties’ VAT numbers, sequential invoice numbering, and clear VAT breakdowns. For cross-border B2B services within the EU, you may need to apply the reverse charge mechanism.

E-Invoicing Mandates in 2026

Several EU countries now require structured e-invoicing for domestic B2B transactions. Poland (KSeF) and Belgium (Peppol) became mandatory in early 2026. France begins its phased rollout in September 2026. Italy has required e-invoicing via FatturaPA since 2019. If you operate in these countries, use the national system for domestic invoices and our generator for international clients only.

Tips for Freelancers

Always use sequential invoice numbers (e.g., INV-2026-001, INV-2026-002). Set clear payment terms (Net 15, Net 30). Include your payment details in the notes field. Keep copies of all invoices for tax reporting.

Frequently Asked Questions

Is this invoice generator really free?

Yes, completely free with no signup required. You can generate unlimited PDF invoices. There are no watermarks, no hidden fees, and no account needed. Your data stays in your browser and is never sent to our servers.

Can I use these invoices for business?

Yes, for countries where PDF invoices are legally accepted. However, if you are in a country with mandatory e-invoicing (Poland/KSeF, Italy/FatturaPA, Romania/e-Factura, Belgium/Peppol, France from Sep 2026), you must use the national e-invoicing system for domestic B2B invoices. Our PDF invoices are suitable for international clients.

What currencies are supported?

We support EUR, USD, GBP, CHF, PLN, SEK, NOK, DKK, CZK, HUF, CAD, AUD, and NZD. The currency symbol appears on the generated PDF.

Is my data private?

Yes. All invoice generation happens directly in your browser using JavaScript (pdf-lib). No data is sent to any server. We don't store your invoices, client information, or any personal data.

Can I add VAT to my invoice?

Yes. Each line item has a VAT rate selector. The invoice automatically calculates VAT per line and shows subtotal, total VAT, and grand total. We support all standard EU VAT rates.

What information should an invoice include?

A valid invoice typically needs: your business name and address, client details, a unique invoice number, issue and due dates, itemized services/goods with quantities and prices, applicable VAT rates, payment terms, and total amount due. Requirements vary by country.
